Terms and Conditions – Stillpoint Holistic Counselling

1. About these terms

These Terms and Conditions govern the use of the Stillpoint Holistic Counselling website and the provision of online counselling services by Oliver Tracey, a self‑employed counsellor trading as Stillpoint Holistic Counselling (“we”, “us”, “our”). By using this website or booking a session, you agree to these terms.

2. Services provided

  • We provide online counselling to adults only, unless otherwise agreed in writing.

  • Sessions are delivered via an agreed upon secure videoing platform.

  • Counselling is not an emergency or crisis service. If you are in immediate danger, contact emergency services or your local crisis support line.

3. Eligibility

By using this website and booking services, you confirm that:

  • You are at least 18 years old (or of secondary school age).

  • You have the capacity to enter into a counselling agreement.

  • You will provide accurate and complete information when requested.

4. Booking and fees

  • Session length, fees, and payment methods will be clearly stated on our website or in your booking confirmation.

  • Fees must be paid in advance of sessions. Sessions can be cancelled if no payment or an agreement regarding the payment is entered into.

  • We reserve the right to review and change fees; any changes will not affect sessions already booked and confirmed.

5. Cancellations and refunds

  • You may cancel or reschedule a session by giving at least 48 hours’ notice.

  • Sessions cancelled with less than 48 hours’ notice, or missed without notice, may be charged in full.

  • Any refund policy and conditions will be explained at the time of booking and on our website.

  • We may need to cancel or reschedule sessions due to unforeseen circumstances; where this happens, we will give as much notice as possible and offer an alternative time or a refund if payment has already been made.

6. Confidentiality and its limits

  • Information you share in counselling is treated as confidential, subject to the limits set out in our Privacy Policy and in any counselling agreement you sign.

  • Confidentiality may be broken if: there is a serious and immediate risk of harm to you or others; if required by law or court order; or for safeguarding concerns.

  • We may discuss our work in supervision, in line with professional guidelines, but you will not be personally identifiable.

7. Use of the website

You agree that you will not:

  • Use this website for any unlawful purpose or in a way that may damage, disable, or impair it.

  • Attempt to gain unauthorised access to any part of the site or related systems.

  • Rely on website content as a substitute for personalised professional or medical advice.

8. Technology and online sessions

  • You are responsible for ensuring you have a private, safe, and stable environment for online sessions, including internet connection and suitable device.

  • We cannot guarantee that technology will always function without disruption, but we will take reasonable steps to maintain secure and reliable platforms.

  • If a session is severely disrupted by technical issues, we will agree how best to continue, reschedule, or adjust the fee where appropriate.

9. Professional standards

  • We aim to work in line with the ethical codes and standards of the BACP.

  • If you have concerns about our work, please raise them with us in the first instance. You may also have the right to complain to our professional body.

10. Disclaimer

  • Counselling outcomes cannot be guaranteed. Everyone’s experience is individual, and the benefit of therapy depends on many factors.

  • Information on this website is provided in good faith but is not guaranteed to be complete, up to date, or free from error.

  • We are not responsible for any decisions you make based solely on information from the website.

11. Liability

  • Nothing in these terms limits or excludes any liability that cannot be excluded under UK law, including liability for death or personal injury caused by negligence.

  • To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, or consequential losses arising from the use of the website or counselling services.

  • Our total liability in connection with any counselling services will not exceed the total fees you have paid for those services, except where the law states otherwise.

Our website may contain links to third‑party sites. These are provided for convenience only. We have no control over, and accept no responsibility for, the content or privacy practices of those sites.

13. Data protection and privacy

  • Unless otherwise stated, all text, graphics, and other content on this website are owned by or licensed to Stillpoint Holistic Counselling.
